Refund & Cancellation Policy

1. Scope and Application

This Policy applies to all commercial engagements, fixed-fee diagnostic assessments, milestone-based modernization advisory programs, and principal architect retainers conducted by Spark Axisbase Consulting Ltd.

2. Diagnostic Codebase Assessments (Fixed Fee)

• Cancellation Prior to Ingestion: If a client cancels a scheduled Codebase Diagnostic Assessment at least five (5) business days before repository access credentials or diagnostic materials are transmitted, a 100% full refund of the initial deposit will be issued.
• Cancellation After Discovery Commences: Once repository static analysis or discovery interviews have begun, the initial discovery deposit (typically 30% of total assessment fee) becomes non-refundable to account for senior consultant hours committed.
• Deliverable Completion: Upon delivery of the final Written Technical Debt Report and debrief presentation, the assessment fee is non-refundable.

3. Milestone-Based Modernization Advisory Programs

For phased modernization programs (such as Monolith Decomposition or Schema Decoupling):

• Engagements are structured into distinct milestone stages governed by mutually agreed acceptance criteria.
• Each milestone is invoiced and verified independently. If a client elects to terminate an advisory program early, billing ceases immediately for future unstarted milestones.
• Fees paid for completed and accepted milestones are non-refundable. For milestones currently in progress, fees are calculated pro-rata based on validated advisor hours delivered up to the written date of termination.

4. Rescheduling & Advisory Session Postponements

Clients may reschedule scheduled architecture steering meetings, technical workshops, or presentation sessions by providing at least 24 hours prior written notice without penalty. Repeated session cancellations without timely notice may be subject to a scheduling administrative fee of NT$ 5,000.

5. Refund Request Process & Timelines

To submit a formal cancellation or refund request:

1. Submit a formal written request via corporate email to info@spark-axisbase.click citing your active Statement of Work (SOW) number.
2. Our engagement management team will review the hours logged and deliverable milestones within five (5) business days.
3. Approved refund disbursements will be credited via corporate bank wire transfer to the original issuing commercial account within ten (10) business days following mutual written reconciliation.
